What we expect from you?

We are looking for an experienced person for the role of an Event Coordinator, who is passionate and enjoys the dynamic role of planning, organizing, and executing memorable and classy events. Our target audience involves those looking for a unique experience. This role requires someone creative and highly organized, with the ability to multitask and coordinate with the in-house team of experts such as designers, animators, content experts, marketing experts etc. and external points of contact such as vendors, partners, artists/performers, organizers etc. They are expected to be hands-on from conception to clean up.

The event coordinator should meet with clients to work out event details, plan with the client and their team, scout and book locations, food, entertainment, staff and cleanup. They should create budgets and stick to them, as well as be involved in organizing transportation, hiring and wrangling keynote speakers or celebrities, negotiating with vendors and partners for different requirements including stage set up, decorations, food, music, artist management, safety and security, equipment and technical support, and overall making sure the event runs smoothly without any glitches. They should have the presence of mind to handle any crisis that may come up, have exceptional communication and negotiation skills, be calm under pressure, be able to think and act quickly to be able to come up with solutions and alternatives as and when required. All of these elements are the factors that make this an exciting and challenging one.

Since we are a small team, we are looking to hire those who can work with passion and be willing to do the groundwork and contribute their unique ideas and skills in as many roles and ways as possible.

  • Calculate budgets and ensure they are adhered to.
  • Based on the analysis done and the other inputs received, Sstrategize the SEO (white hat – on page, off page) & SEM roadmap.
  • Book talent, including musicians, bands, and disc jockeys.
  • Select chefs or catering companies to prepare food for event.
  • Sample food and select dishes for menus.
  • Visit venue to plan layout of seating and decorations.
  • Schedule speakers, vendors, and participants.
  • Coordinate and monitor event timelines and ensure deadlines are met.
  • Initiates, coordinates and/or participates in all efforts to publicize event.
  • Edit and design promotional materials.
  • Prepare presentations.
  • Develop and oversee fundraising events.
  • Negotiate and secure event space.
  • Secure sponsorships.
  • Work with printer and designer to develop event invitations.
  • Create invitee list.
  • Send out invitations and manage RSVP list.
  • Hire staff to manage the event, including bouncers and security personnel.
  • Manage correspondence.
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
  • Keep inventory of backdrops, projectors, computers, and other display materials.
